Most Indian hotels still keep a paper guest register: a bound book where each guest's name, address and ID details are written by hand, often next to a photocopy of an ID card. A digital guest register does the same job on a screen, with the data typed once, stored safely and easy to find later.
What is a digital guest register?
It is a record of every guest who checked in, kept in software instead of a book. Good ones fill most of the fields from a verified source (for example a digitally signed Aadhaar QR code) so reception does not copy details by hand, and they let you look up a guest by date or by reference in seconds.
What should a digital guest register record?
- The guest's name and the booking reference.
- The check-in date and, when the guest leaves, the check-out.
- How the guest's identity was checked: which route, and whether it passed.
- Whether the guest is an adult, and the last four digits of the ID, which is usually enough to tell two guests with the same name apart.
- A reference number for the check-in, so a record can be found again quickly.
What should it leave out?
Everything the front desk does not need. The full 12-digit Aadhaar number is the clearest example: it is not needed to run a hotel, and a spreadsheet or photocopy that holds it becomes a risk. Keep only what you can explain a reason for, and delete it when that reason ends.
How is it different from a paper register?
- Search: a digital register finds a guest by date or reference. A paper book is searched page by page.
- Safety: records can be encrypted and each look at a record can be logged. A paper book can be read by anyone who picks it up.
- Deleting: a digital register can delete personal details on a schedule. Paper rarely gets shredded on time.
- Mistakes: typed-once, verified data has fewer handwriting and spelling errors.
How do I start?
- List what your hotel records today and decide what you really need.
- Choose a tool that checks identity with consent and does not keep more than it needs.
- Try it on a few check-ins alongside your paper register for a week.
- Set how long records are kept after check-out, and tell guests in the notice.
- Keep meeting your other duties, such as police and foreigner reporting where they apply to you. A register does not replace them.
