Paperless check-in means a guest proves who they are and shares their details digitally, so nobody photocopies a card or fills a long form at the counter. Here is how it works in practice, and how to set it up without disrupting your front desk.
What does a paperless check-in look like?
- Reception shows a QR code on a tablet, a screen or a printout.
- The guest scans it with their own phone. No app has to be installed: it opens in the phone's browser.
- The guest reads a short notice, agrees, and verifies with their Aadhaar (for example the signed QR code on the card or e-Aadhaar).
- The guest sees exactly what will be shared and presses Share.
- Reception sees the verified name, the photograph and a result, compares the photo with the person at the desk, and confirms.
What do I need?
- A phone, tablet or laptop at reception with an internet connection.
- A way to show the QR code: a tablet, a counter display or a printed permanent QR for self check-in.
- A tool that verifies identity with consent and keeps the guest register digitally.
- A short training for your front-desk staff. Most need less than an hour.
What if a guest cannot or will not use Aadhaar?
They should never be turned away for that. Reception can check the guest in with another ID, such as a passport, driving licence or voter ID, and record its type and last characters. Your process needs this fallback from day one.
Mistakes to avoid when you switch
- Switching everything on the first day. Run the new way beside your old register for a week.
- Skipping the photo comparison. Verification is a signed check of a document, and the person at the desk still has to be the person in the photo.
- Keeping photocopies "just in case". That removes most of the benefit.
- Forgetting your other duties. Police and foreigner reporting, where they apply to you, stay your responsibility.
