Hotel KYC software in India: 12 questions to ask before you buy

Many tools promise "Aadhaar KYC for hotels". They differ a lot in how they verify, what they store and who is responsible. These questions help you compare them on facts.

Verification

1. How is identity checked: a digitally signed QR code or credential, or just a photograph of a card? A photograph alone proves little.
2. What happens when a card has an older, unsigned QR code? A good tool flags it for a manual check instead of passing it.
3. Can a guest who has no Aadhaar, or does not want to use it, still check in with another ID?
4. Does the tool help staff compare the photo with the person at the desk?

Data and privacy

1. Does it store the full Aadhaar number? You usually want it not to.
2. Does the guest see a clear notice and give consent before anything is read?
3. Is data encrypted, and separately for each hotel?
4. Can you set how long records are kept, and are they deleted automatically?

Registration and responsibility

1. Who is registered with UIDAI as the offline verification entity (OVSE), and under what number?
2. Does the vendor claim "approved", "certified" or "100% compliant"? Be careful: no tool can certify that your hotel meets every rule.

Running it every day

1. Does it work on the devices you already have, and on a phone for staff?
2. What does it cost after the trial, and is there a free trial so you can test on real check-ins?
