Moving from a paper guest register to a digital one: a 30-day plan

19 October 2026 · 5 min read

Changing how your front desk works feels risky. A short plan, done week by week, keeps it calm.

Week 1: prepare

  • List what your paper register records today and why.
  • Decide your retention period and write the guest notice.
  • Start a free trial, add your hotel's details and create a login for each manager.
  • Choose where the QR code will be shown at reception.

Week 2: practise

  • Add your front-desk staff and give each their own username.
  • Run the new check-in on a few guests, alongside the paper register.
  • Write down any question staff or guests ask and answer it for everyone.

Week 3: switch most check-ins

  • Use the digital check-in for every guest who can, and keep the other-ID route for the rest.
  • Keep the paper register only as a backup, and stop photocopying.
  • Review the digital guest register at the end of the week.

Week 4: tidy up

  • Decide what to do with old paper records, with your lawyer's advice. Do not simply throw them away or leave them in a cupboard.
  • Switch on the permanent self check-in QR if you want guests to start on arrival.
  • Check the audit log and the register download so you know how to find a record when asked.

Throughout, keep meeting your other obligations, such as police and foreigner reporting where they apply to you. A digital register does not replace them.
