7 things that slow down hotel check-in (and how to fix them)

19 October 2026 · 4 min read

A slow check-in is the first thing a tired guest notices. Most delays come from a handful of habits that can be fixed without hiring anyone.

1. Photocopying ID at the counter

Walking to a copier, waiting, returning the card. Fix: verify digitally from the guest's phone, so nothing is copied.

2. Filling long forms by hand

Name, address, purpose of visit, all written out. Fix: let verified data fill the fields, and ask only what you truly need.

3. Everyone checks in at the same minute

A bus or a wedding party arrives together. Fix: send the QR code ahead of arrival or keep a self check-in QR at the entrance, so guests start before they reach the desk.

4. No booking reference

Staff search for the booking while the guest waits. Fix: capture the reference at the start and tie each guest on the booking to it.

5. One person doing everything

The same staff member handles keys, payment and identity. Fix: let the guest do the identity step on their phone while staff prepare the room.

6. Unclear IDs and blurry photos

Staff squint at small print. Fix: use a signed QR check that reads the details for you and shows a clear result.

7. Guests unsure what is happening

Questions about why ID is needed and what is kept slow the line. Fix: show a short, plain notice before anything is read, and a receipt afterwards.

CheckInKYC is designed around these seven points. You can test it free for 15 days on your own front desk.
